    What Is Air Freight Forwarding?

Air freight forwarding is the process of arranging air transport for cargo between countries — booking space with airlines, preparing export and import documentation, and coordinating pickup through to final delivery. It’s the fastest way to move goods internationally, with typical airport-to-airport transit of 1–3 days (several days door to door) versus weeks by sea. Businesses use air freight when speed matters more than cost — for perishables, urgent stock, or high-value shipments.

Synergy Freight Management arranges air freight to and from Australia through direct relationships with major airlines, and — as a licensed customs broker — handles customs and quarantine clearance in-house so your cargo moves across the border without unnecessary delay.

Can you afford to not have the right logistics plan and support for your air freight needs?

Synergy Freight Management Services knows what is at stake when it comes to the strategy and logistics planning for air freight to and from Australia. We have strong global relationships with airlines and logistic service providers and we pride ourselves on our fast, efficient and personalised service.

Working directly with the major airlines for competitive rates

Synergy Freight Management Services strive to achieve competitive rates that can be passed on to our customers. We include complete tracking of cargo on a daily basis and on an hourly basis upon arrival to ensure we are ready to act if there are any delays or issues. We use our global network to ensure your cargo gets to the airlines on time to avoid missed flights, delays and meet delivery deadlines. This helps our customers not have to worry about meeting their air freight delivery schedules and focus more on their business.

We are licensed to handle our own customs and quarantine clearance

We hold a corporate customs brokers’ licence and are licensed to handle our own customs and quarantine clearance. This allows for a smooth transition of the cargo across the border without any unexpected delays due to incorrect cargo declarations with customs and quarantine. We notify our customers of pre-arrival of their goods and keep them well informed of the status of their cargo.

    Fast, reliable and secure

Working with Synergy Freight Management Services ensures a fast, reliable, secure and cost-effective air freight solution.

    • We go the extra mile to obtain all advantages including scheduling bookings while providing the highest level of customer service
    • Your dedicated Australia-based Synergy Freight Management team is familiar with your requirements, preferences, and delivery deadlines
    • Priority delivery for air freight within 24 hours of check-in
    • Access to direct and consolidated freight services gives you a greater selection of rate versus time scenarios and price points
    • Proactive customs processing through the Synergy Freight Management brokerage team

Air Freight Service Options We Arrange

Not every shipment needs the same service level. We match the option to your cargo, budget, and deadline:

    • Direct (dedicated) air freight: Your cargo moves on its own air waybill, typically the fastest and most traceable option — best for urgent or high-value shipments.
    • Consolidated air freight: Your cargo shares space with other shippers’ freight under a house air waybill, arranged by Synergy at origin. This lowers cost for smaller shipments that don’t need dedicated handling.
    • Airport-to-airport: You or your supplier handle collection and delivery at each end; we manage the flight booking and customs clearance. Common where you already have your own local transport arranged.
    • Door-to-door: We manage the entire journey — origin pickup, export documentation, flight booking, Australian customs and biosecurity clearance, and final delivery to your address.
    • Priority / next-flight-out: For genuinely urgent cargo, we can book onto the next available flight rather than the most cost-effective one — used for production-critical parts or time-sensitive medical and perishable goods.
    • Temperature-controlled air freight: Active or passive cold-chain packaging solutions for pharmaceuticals, fresh food, and other perishable cargo, coordinated to minimise time outside the required temperature range.
    • Dangerous goods air freight: IATA-compliant handling for regulated cargo such as lithium batteries, aerosols, and chemicals, including correct classification, packaging, and documentation.

Beyond our five most common origins, we also regularly arrange air freight from New Zealand, Singapore, the United Arab Emirates, and across mainland Europe — if your origin isn’t listed here, contact us and we’ll confirm routing and typical transit time for your specific lane.

How Air Freight Shipping Works — Step by Step

    1. Quote and booking: We assess your cargo’s actual and dimensional weight, commodity type, origin, and destination, then source competitive airline rates across our carrier network. Once approved, we confirm the booking and issue shipping instructions to your supplier.
    2. Origin pickup and export documentation: Our overseas agent network collects your cargo from the supplier’s premises (or arranges drop-off at the airline’s cargo terminal), prepares the air waybill, and lodges any export customs declaration required at origin.
    3. Airline uplift: Cargo is screened and loaded per aviation security requirements, then flown to Australia on a scheduled passenger or dedicated freighter service — direct where possible, or via a single transit point for less-served routes.
    4. Pre-arrival preparation: Before your shipment lands, we lodge the Australian import declaration, calculate duty and GST, and check biosecurity (BICON) conditions for your commodity so clearance can begin the moment the cargo arrives.
    5. Australian customs and biosecurity clearance: As a licensed customs broker, we clear your shipment directly with Australian Border Force and manage any Department of Agriculture, Fisheries and Forestry (DAFF) inspection or treatment requirements — no third-party broker hand-off.
    6. Final delivery: Once released, we arrange road transport from the airline’s cargo terminal to your warehouse, store, or nominated address — typically within 24 hours of check-in for priority freight.

Air Freight Transit Times by Origin Country

Airport-to-airport transit is only part of the journey — total door-to-door time also depends on flight frequency, customs and quarantine processing, and final-mile delivery. The table below shows typical transit windows for the five origins we arrange air freight from most often. Actual transit times vary by carrier, routing, and season — contact us for a schedule specific to your shipment.

Origin Major Airports Airport-to-Airport Typical Door-to-Door
China Shanghai (PVG), Guangzhou (CAN), Shenzhen (SZX), Hong Kong (HKG) 1–3 days 3–6 days
United States Los Angeles (LAX), Chicago (ORD), New York (JFK) 2–4 days 4–7 days
United Kingdom London Heathrow (LHR) 2–4 days 4–8 days
Vietnam Ho Chi Minh City (SGN), Hanoi (HAN) 1–3 days 3–6 days
India Mumbai (BOM), Delhi (DEL), Chennai (MAA) 2–4 days 4–7 days

These figures assume direct or single-transit routings on scheduled passenger or freighter services. Peak season — October to December in the lead-up to Christmas, and the weeks around Chinese New Year — can add 1–3 days to the above due to reduced capacity and higher booking demand. We recommend booking early if your shipment falls in these windows, and can advise on likely delays for your specific route before you commit to a ship date.

Beyond flight schedules, the most common causes of delay are on the ground rather than in the air: incomplete or inaccurate commercial invoices, missing import permits for regulated goods, incorrect dangerous goods documentation, or a shipment selected for physical biosecurity inspection on arrival. Because we handle your customs and quarantine clearance in-house, we check documentation before your cargo departs origin — not after it lands — which is where most avoidable delays happen.

How Air Freight Costs Are Calculated

Air freight is priced on chargeable weight — whichever is greater between the actual (gross) weight of your shipment and its dimensional (volumetric) weight, generally calculated as length × width × height (cm) ÷ 6,000 per piece. Low-density, bulky cargo is charged on volume rather than weight, which is why packaging efficiency matters as much as product weight when estimating your air freight cost.

For example, a carton measuring 60 × 50 × 40 cm has a dimensional weight of (60 × 50 × 40) ÷ 6,000 = 20 kg. If the same carton has an actual gross weight of only 12 kg, you’ll be charged on the 20 kg dimensional weight, not the lighter actual weight — because it’s the greater of the two figures. This is why consolidating stock into denser, better-packed cartons can meaningfully reduce air freight costs on bulky, lightweight products.

Because airline capacity, jet fuel prices, and route demand shift constantly, we don’t publish fixed per-kilogram rates on this page — a same-day quote will always be more accurate than a rate card. As a general guide, however, cost per kilogram falls significantly as shipment size increases:

Shipment Size Relative Cost per Kg Typical Use Case
Under 45 kg Highest — minimum chargeable weight applies Samples, urgent spare parts, small parcels
45–100 kg High Small stock top-ups, urgent replenishment orders
100–500 kg Moderate Regular scheduled stock shipments
500 kg+ Lowest per kg Bulk restocks, seasonal inventory builds

On top of the base air freight rate, expect these common surcharges:

    • Fuel surcharge: Adjusted monthly, and sometimes more often, by airlines in line with jet fuel prices.
    • Security surcharge: Covers mandatory cargo screening under Australian and origin-country aviation security requirements.
    • Peak season surcharge: Applied by carriers during high-demand periods such as the pre-Christmas rush and Chinese New Year.
    • Terminal handling and customs clearance: Charged at the Australian end, covering airline terminal fees and our customs brokerage service.
    • Biosecurity inspection or treatment fees: Apply only if your shipment is selected for physical inspection or treatment by DAFF on arrival.

We provide a full landed-cost quote before you book — base freight, surcharges, and clearance costs itemised — so there are no surprise invoices at destination.

Who pays which cost also depends on your agreed Incoterms. Under EXW, you’re responsible for origin pickup through to Australian delivery — Synergy manages the whole chain on your behalf. Under FOB or FCA, your supplier delivers the cargo to the airline, and we take over from there. Under DDP, your supplier is responsible for the full journey including Australian duties — we recommend confirming which party is arranging customs clearance before booking, since this affects how quickly a shipment can be released on arrival.

What Can You Ship by Air Freight? Commodity Guidance

Air freight suits goods where speed matters more than absolute cost per kilogram. The table below covers the commodity categories we handle most often, and what to check before you book:

Commodity Type Why Air Freight Key Considerations
Perishables & temperature-sensitive goods Minimises time outside cold chain Active or passive temperature-control packaging; biosecurity import permits are often required for food and plant products
Dangerous goods & lithium batteries Often the only viable option for regulated quantities Must comply with IATA Dangerous Goods Regulations — DG-certified packaging, labelling, and documentation required
High-value or urgent stock Reduces time capital is tied up in transit and shortens the theft/damage exposure window Consider cargo insurance; confirm packaging meets carrier handling standards
Documents & product samples Fastest option for time-critical paperwork or samples ahead of a bulk order Simplified customs entry often applies for low-value samples — confirm value thresholds with us
Apparel & retail replenishment Covers stock-outs between scheduled sea freight shipments Commonly used as a top-up method alongside a primary sea freight programme
Pharmaceuticals & medical supplies Regulatory and shelf-life requirements often demand speed May require Therapeutic Goods Administration (TGA) permits; temperature-controlled handling for many products
Machinery parts & components Minimises production downtime while waiting on an urgent replacement part Check for dangerous goods classification — batteries, hydraulic fluid, aerosols — before booking

Not sure whether your goods qualify for standard air freight or need special handling? Our team can advise on classification, documentation, and permit requirements before you book — get in touch before your shipment is ready to go.

Documentation Required for Air Freight Imports

To clear air freight cargo through Australian Border Force, the following documents are typically required:

    • Air Waybill (AWB): The carrier’s contract of carriage and receipt for the goods — either a Master AWB (issued by the airline) or a House AWB (issued by the freight forwarder for consolidated cargo).
    • Commercial Invoice: Buyer and seller details, goods description, HS tariff codes, quantities, unit prices, currency, and terms of shipment (e.g. FOB, EXW, CFR).
    • Packing List: Piece-level breakdown of contents, dimensions, and gross weights — used to calculate chargeable weight.
    • Certificate of Origin: Required to claim preferential tariff rates under Australia’s Free Trade Agreements where applicable.
    • Import Permits: Required for regulated goods — food, biosecurity-risk items, therapeutic goods, chemicals, and certain electronics.
    • Dangerous Goods Declaration: Required where cargo is classified as dangerous goods under IATA regulations, including most lithium battery shipments.

Synergy Freight Management will advise you on exactly which documents are needed before your shipment departs origin.

Packing and Labelling for Air Freight

Air cargo is handled more times, and by more people, than a sealed sea freight container — from origin warehouse to airline terminal, through screening, onto the aircraft, and off again at the Australian end. A few packing basics reduce the risk of damage or delay:

    • Sturdy, correctly sized cartons: Avoid oversized boxes with wasted internal space — this increases dimensional weight without adding protection.
    • Clear, durable labelling: Consignee name, address, and piece count (e.g. “3 of 5”) on every carton, in case pieces are separated during handling.
    • Dangerous goods labelling: IATA-compliant hazard labels and UN packaging where applicable — incorrect or missing DG labelling is one of the most common reasons a shipment is held at origin.
    • Fragile and orientation markings: “This Way Up” and fragile markings where relevant, though these should supplement — not replace — adequate internal packaging.
    • Palletising and strapping: For multi-carton shipments, consolidating onto a pallet and strapping it reduces handling touchpoints and the chance of individual cartons going astray.

Why Choose Synergy Freight Management for Air Freight?

    • Licensed customs broker — in-house: We hold a corporate customs broker’s licence registered with the Australian Border Force, so clearance and freight forwarding are handled by the same team, not handed off to a third party.
    • Direct airline relationships: Established relationships with major carriers give us access to competitive rates and booking priority during capacity crunches around peak season.
    • Global agent network: Overseas partners at origin handle pickup, export documentation, and airline hand-off, so your supplier deals with one point of contact regardless of where they’re located.
    • Real-time tracking: Daily tracking in transit, moving to hourly monitoring once your cargo arrives in Australia, so we can act immediately on any delay.
    • Transparent landed-cost quoting: Base freight, surcharges, duty, GST, and clearance costs itemised upfront — no surprise invoices at destination.
    • Direct access to your freight specialist: You deal with our team directly — not a call centre — and your account manager knows your shipment history and preferences.
    • Cargo insurance on request: We can arrange marine/air cargo insurance for high-value or time-critical shipments.

Air Freight vs Sea Freight: Which Should You Choose?

Most Australian importers use a mix of both — sea freight for planned bulk stock, air freight for urgent top-ups, samples, and time-critical cargo. Here’s how the two compare:

    Air Freight Sea Freight
Typical transit time 1–4 days airport-to-airport 14–45 days port-to-port, depending on origin
Cost profile Higher per kg overall, but often the cheapest option for very small or urgent shipments Lower per kg at volume; minimum charges make very small shipments less economical
Best suited to Urgent, perishable, high-value, or low-weight cargo Bulk, heavy, or non-time-critical cargo
Packaging flexibility Stricter weight, dimension, and dangerous goods limits More flexible — oversized, heavy, and irregular cargo options available (FCL, break bulk, RoRo)
Typical minimum practical shipment No practical minimum — priced from a few kilograms Most economical from around 1 CBM upward (LCL) or 15 CBM+ (FCL)

If your shipment isn’t time-critical and involves larger volumes, our sea freight forwarding service will typically work out considerably cheaper. If you need to compare exact costs and transit times for your specific cargo, request a quote and we’ll model both options for you.
